About The BravoStudio:

The BravoStudio is a boutique community of young musicians, teacher-performers, and parents. We offer private music lessons across the Chicago area and suburbs with a mission to inspire, educate, and encourage the next generation of artists of all genres. We take care of the scheduling and operations so that our instructors and students can focus on what they do best: teach and learn.


Position Summary:

We are seeking an organized, proactive Administrative Assistant to support our daily operations and help maintain a high standard of service to students, parents, and instructors. This role is essential to ensuring smooth scheduling, communication, and administrative functions that allow our musical community to thrive.


Key Responsibilities:

  • Manage scheduling of private lessons, ensuring accurate and timely updates for students, parents, and instructors.
  • Serve as point of contact for inquiries via email, phone, and in-person; respond or redirect appropriately.
  • Maintain records for students (registration, payments, attendance) and instructors.
  • Assist with onboarding of new instructors: gathering contracts, setting up profiles, scheduling first lessons.
  • Prepare and distribute communications: newsletters, lesson reminders, studio policies.
  • Support special events / recitals / performances (booking space, managing logistics, communications).
  • Help maintain the studio database and ensure data accuracy.
  • Position does not include any bookkeeping or accounting work but will coordinate with Operations director on bi-monthly payroll

Qualifications:

  • 2+ years of experience in an administrative or office support role (experience in education/music studio is a plus).
  • Strong organizational skills; excellent attention to detail.
  • Excellent verbal and written communication skills; ability to communicate clearly and professionally.
  • Able to manage multiple tasks and priorities in a fast-paced environment.
  • Friendly, professional demeanor; good with people (parents, students, instructors).
  • Reliable, punctual, proactive; ability to anticipate needs and solve problems independently.
  • Tech-savvy, with familiarity in Google Suite 
  • Ability to work some evenings/weekends as needed for events or high-volume scheduling periods.
